This notice explains what personal data we collect, why we use it, who we may share it with, how long we keep it and the choices available to you. It applies to darktrooperrecordings.co.uk, the online shop and account area, contact and enquiry forms, and services such as music production, mixdowns, education and other Dark Trooper Recordings services.

Dark Trooper Recordings is the data controller for personal data covered by this notice.

INFORMATION WE COLLECT

The information we collect depends on how you use the site. It may include:

  • Identity and contact data: name, email address, telephone number and contact details you provide.
  • Account data: account username, account preferences and information associated with your WooCommerce customer account.
  • Order and delivery data: products or services ordered, billing and shipping addresses, order history, invoices, refunds and related correspondence.
  • Payment and transaction data: payment method, transaction status and payment references needed to confirm and manage a purchase. The payment methods available are the methods displayed at checkout and may change from time to time. Payment details required to complete the selected method are processed by the relevant payment provider. We do not intend to store complete payment-card numbers or card security codes ourselves.
  • Enquiry and service data: messages, project details, music links, files, reference material and other information you choose to send when asking about mixdowns, education, production or other services.
  • Technical and usage data: IP address, browser and device information, operating system, pages viewed, referring pages, approximate location derived from IP, timestamps and security/log information.
  • Cookie and preference data: cookie-consent choices, marketing preferences and information generated by cookies or similar technologies where permitted.

Please do not send passwords, complete payment-card details or sensitive personal information through ordinary contact forms unless we have specifically asked for it and there is a genuine need.

HOW WE RECEIVE YOUR DATA

INTERNATIONAL DATA TRANSFERS

09 / RETENTION

HOW LONG WE KEEP INFORMATION

We keep personal data only for as long as reasonably necessary for the purpose for which it was collected, including legal, tax, accounting, security and dispute-resolution requirements.

Our retention decisions take account of the type and sensitivity of the data, the purpose for which it is used, whether the purpose can be achieved in another way, applicable statutory retention periods and the time limits for potential legal claims.

  • Order, invoice and transaction records are retained for the applicable statutory tax/accounting period and as necessary to deal with refunds, disputes or legal claims.
  • Account information is normally kept while the account remains active and for a limited period afterwards where necessary for orders, records, security or legal obligations.
  • Enquiry and service correspondence is kept for as long as needed to deal with the enquiry/service and any reasonable follow-up, contractual or legal requirements.
  • Marketing information is kept until you opt out or consent is withdrawn, subject to keeping a minimal suppression record where needed to respect that choice.
  • Cookie and analytics information is retained according to the relevant cookie/service settings described in the Cookie Policy or consent information.

When information is no longer required, we delete, anonymise or securely dispose of it as appropriate.

SECURITY & AUTOMATED DECISION-MAKING

We use reasonable technical and organisational measures designed to protect personal data against unauthorised access, alteration, disclosure, loss or misuse. No internet service can guarantee absolute security, so we also encourage customers to use strong, unique passwords and to keep account credentials private.

Dark Trooper Recordings does not currently make decisions about you based solely on automated processing that produce legal or similarly significant effects. Payment, security or fraud-prevention providers may use automated screening within their own services and under their own privacy information.

CHANGES TO THIS NOTICE

We review this notice periodically and update it when our services, technology, legal obligations or data-processing practices change. The date at the top of the page shows when this version was last updated.

Where a change materially affects how we use personal data, we will take reasonable steps to bring the change to the attention of affected users before the new use begins where required.

13 / GOOGLE DRIVE & MEDIA USAGE AUDITOR

GOOGLE DRIVE RECOVERY STORAGE

Where an authorised site administrator connects Media Usage Auditor (MUA) to Google Drive, the connection is used only to store and manage MUA Recovery files created for this WordPress site.

  • Permission requested: MUA requests the Google Drive drive.file scope. This is used to create and manage files that MUA creates or that are explicitly made available to it.
  • What is transferred: Recovery copies of WordPress media selected by an authorised administrator, together with the minimum file metadata needed to identify and restore them.
  • What MUA does not do: MUA is not intended to browse, read or analyse unrelated files in the user’s Google Drive.
  • Why the data is used: Google Drive data is used only to archive, verify, restore or delete MUA Recovery files at the administrator’s request.
  • Sharing: We do not sell Google user data or use it for advertising, marketing profiles or unrelated purposes.
  • Retention: Recovery files remain in Google Drive until restored, deleted by an authorised administrator, or removed directly from Google Drive. Connection tokens are retained only as needed to maintain the authorised connection.
  • Revoking access: Access can be revoked at any time through the Google Account permissions page or by disconnecting Google Drive in MUA. Revoking access stops MUA from accessing archived Drive files until authorised again.

Our use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements where applicable.
